Berkshire Bulldogs Sessions – Terms & Conditions
1. Booking and Payment

All sessions must be booked through the official Berkshire Bulldogs website booking system. Payment is due at the time of booking, and places are only confirmed once payment is processed. Late or incomplete bookings may result in a child’s place being withdrawn. Berkshire Bulldogs reserves the right to refuse a booking at its discretion.

2. Refunds, Cancellations, and Make-Up Sessions

All payments are non-refundable once the term has started. If a child has attended more than 2 sessions, no refund will be given. Sessions missed due to illness, holidays, or personal reasons cannot be rescheduled. If a session is cancelled by Berkshire Bulldogs (e.g., staff illness, unsafe conditions, or venue issues), a replacement session will be offered where possible. If a replacement cannot be provided, a credit for future sessions will be issued. No cash refunds will be given except in exceptional circumstances.

3. Attendance

Children must arrive on time for sessions. Late arrivals may limit participation for safety reasons. Parents/carers are responsible for timely drop-off and collection.

4. Behaviour and Conduct

Children are expected to behave respectfully towards staff, volunteers, and other participants. Persistent disruptive or unsafe behaviour may result in a child being asked to leave. If behaviour is very poor and the coach decides a child must be removed, Berkshire Bulldogs may remove the child immediately, with no refund provided. Examples include aggression, verbal abuse, refusal to follow instructions, or repeated disruption. Staff will communicate concerns to parents/carers where possible.

5. Health, Safety, and Medical Information

Parents/carers must provide details of any medical conditions, allergies, injuries, or disabilities prior to sessions. Children must wear appropriate sportswear and footwear. Staff will take reasonable care to ensure safety, but parents/carers acknowledge that sports carry inherent risks. Children must be fit to participate. Emergency treatment will be provided if necessary, and parents/carers will be informed.

6. Safeguarding and Supervision

Berkshire Bulldogs follows all safeguarding guidelines. Staff have completed DBS checks and training. Parents/carers must remain contactable during sessions. Children are supervised at all times.

7. Photography and Media Consent

Photos/videos may be taken for promotional purposes. Parents/carers may opt out by notifying staff in writing before the session.

8. Personal Belongings

Children are responsible for personal items. Berkshire Bulldogs is not liable for loss, theft, or damage.

9. Liability

Berkshire Bulldogs and staff accept no liability for injuries, loss, or damage except in cases of proven negligence. Participation constitutes acceptance of inherent risks.

10. Data Protection

Personal information is used solely for session administration and stored in accordance with GDPR. Parents/carers may request a copy of the data held about their child.

11. Consent and Agreement

By booking a session, parents/carers confirm that:

Their child is fit to participate.

They understand and accept these Terms & Conditions.

They consent to participation under Berkshire Bulldogs staff supervision.

12. Changes to Terms & Conditions

Berkshire Bulldogs reserves the right to amend these Terms & Conditions. Changes will be communicated via email and posted on the booking platform.
